Let customers submit e-signature, photos, feedback

Summary

  1. Set up a form in Jotform or another form service
  2. Use the Sharefox notification feature to set up automated sending of an sms or email to the customer, with a link to this form
  3. You can access form responses by email, the form service website, or use an integration

Detailed instructions

Several form services can be used, but we here illustrate how it can be done using Jotform.

  1. Go to
    1. Jotform have a free plan that you could try out, and these prices 
    1. Click on “Start From Scratch”, and then on “Card Form”. This gives your form a modern and mobile-friendly interface

    2. Drag in from the left menu bar the sections you want

      (Tip: You can add a text field for name and order reference.)


      You can also request the customer to upload photos by using this section:

    3. If you use it, we recommend that you use a title like “Take pictures”, so the user understands what files to upload:


This is how it will work on an iPhone:

Tip: The text fields are searchable, so you can easily find the correct order later. You can also add a Signature field, to be able to receive digital signatures.

3. Click “Settings”

4. Click the tab “Publish”, and copy the link to the form

5. Fill out which email addresses should receive copies of form responses

6. Click on “Integrations” if you want to send the form data to other services

7. If you want to receive notifications on your phone when new submissions are received, then you could download the Jotform app to your phone.

8. Log in to Sharefox, and include the URL (link) in a text, to be sent by SMS (or email). This is a guide to setting up such Notifications.

9. Example: 1 hour before the return time for the rented item, send out an SMS, with the text:“Please follow the link to fill out the checkout form, before returning the item: www.test.com/akdfnvkadjnfv Best Regards Company Name”


You are now done!


  • To later access the filled-out forms, visit Jotform.com, “My forms”, and “Inbox” for the relevant form

  • In the Inbox you will see an overview of the submitted forms

  • To find the exact contract you are looking for, enter the order ID (or customer name) in the search box.

Pre fill customer data into your form

  • Tip: Use Smart Fields to insert customers' name, Order reference etc. automatically into your forms. Read more about Smart Fields.

  • Link to a form that is pre-filled with names, order reference, and email addresses
    • Just exchange the names with Smart Fields in Sharefox

Send different forms to different customers

You can send different forms to different orders, if you assign tags to orders. When creating a notification, you can select "Optional filter" > "Order Tag" > Equal to > Enter the name of the given order tag. Now the notification will only be sent to orders that have this order tag.


Get info about submitted forms back to an order inside Sharefox

It is possible to get information about the submission of Jotform forms back to Sharefox. The information will then be shown on the Order details page, under "information":
