Rental cancellation request from the Shop user - How it works
The Cancellation Request action is an optional feature for your webshop and you can activate it anytime. This article covers:
Rental products only: Please note that this feature is strictly limited to rentals and does not cover subscription products. For subscription end requests, pleas read this help article.
What can the Shop customer do?
For some businesses it makes sense to allow customers to trigger a cancellation request online. This action can also be restricted to for example "only allowed if done 7 days before booking start time". See how to set up this feature here.
If the action is allowed, the Shop user can trigger a Cancellation Request from the My Orders page by clicking "Cancel booking" in the "Active bookings" section:
A confirmation will be required:
Triggering the "Cancellation Request" action will:
- Send a notification to the shop manager
- Send a confirmation email to the user (that the request was received)
- Release the product (and any reserved accessories) for any other customer to book
What should the manager do?
Any such cancelled delivery will show with status "Cancellation Request" in Admin:
The product reservation was automatically released, so other customers can already book this product, therefore urgent action is not needed in this respect.
Important: The manager has to review the order and handle any refunds manually (either full or partial), based on the business refund policy.
How to activate this feature?
Go to Admin → Settings → Orders & Others page to turn on the feature:
Cutoff Time
It is possible to set a time limit before the actual booking Pick Up or Start time after which the user cannot trigger the Cancellation Request anymore. Activate this option if it makes sense for your business and enter the time limit in days:
